Meeting minutes for October 7th, 2019.
The meeting was called to order by President Geoff Lenser.
A motion to accept the minutes from the September meeting was made by Carol Olson and seconded by Beth Hanson. The motion carried.
Beth Hanson reported that the general savings has $824.37 and checking has $1436.69. The CCCR checking has $372.00.
Carol Olson reported that the Bingo checking has $4808.19 and Trout Fest checking has $11,844.77. A motion to accept the treasurer’s report was made by Linda Schulte and seconded by Paul Lewison. The motion carried.
Geoff Lenser shared a Ted Talk Video on the art of debate and how we should argue constructively when discussing differing opinions. Listening to the person’s voice and humanizing them so we hear what their saying and not just reacting because they are presenting an opposing idea.
We discussed the status of the Canoe Races. We have a shortage of $2300-$3600. Nancy Wedwick is still going over everything to get it finalized. Since we agreed that we would be responsible for the shortage, we will go to the next Canoe Race meeting and ask that we be considered a silver sponsor for the next 2 or 3 years, rather than taking that money out of the profits for future events. Nancy also reported that the JEM grant report is due and shared with us some of the questions that need to be answered, such as would we change our marketing strategy, targeting, outlets. October 28th is the first planning meeting for Canoe Race 2020. Each participating group must have 3 people selected to represent them. 2 members, that will vote, and an alternate in case someone can’t attend. Anyone is welcome to come to the meetings, but to make things fair, only the select members will vote. Our representatives are Geoff Lenser and Karla Lewison with Beth Hanson as the alternate. A motion to elect these members was made by Paul Lewison and seconded by Carol Olson. The motion carried.
Geoff Lenser brought up the idea to put Trout Fest on hold for one year to regroup and rebrand the event. The general consensus was to have it next year. We will change the date and maybe return everything to the park. We formed a committee to be in charge of the event. The members are Carol Olson, Jill Gettelman and Geoff Lenser. A motion to elect these members was made by Zach King and seconded by Paul Lewison. The motion carried.
We discussed the Holly Jolly Holiday Walk and Tree Lighting, just an overview of what we had planned and what was mentioned in the email. Geoff Lenser proposed that we possibly use $200 of the bingo profits to advertise the event. A motion to accept was made by Carol Olson and seconded by Beth Hanson. The motion carried.
Bingo is this Thursday. We are having brisket sandwiches, beans, coleslaw, chips, hot dogs and bars. We will need help setting up tables at 3pm and help starting at 5pm for bingo and food serving. We are also starting a progressive game. The beginning jackpot will be $150 consolation prize will be $100. With profits from bingo, we will start a cooperative advertising campaign. We plan to have bids from local media for the November and make a decision at the December meeting.
Dues are due by December 31st. $75.00.
We chose an election committee to find candidates for Geoff Lenser’s position, which will be up in 2020. The committee is Paul Lewison, Linda Schulte and Linda Pederson. The election will be held at the January meeting. A motion to accept these members was made by Zach King and seconded by Carol Olson. The motion carried.
Linda Schulte suggested we think about flowers for next spring. Valley Market is willing to plant what we want, but they need to know by the first of the year. This will be discussed at the next the meeting.
Nancy Wedwick reported that we did not get chosen for the Capstone project. There were 14 students who chose the projects that interested them. Our application will be kept for next year.
We discussed buying a computer for minutes and QuickBooks for the treasurer. Linda Schulte suggested using a shared drive that could be accessed from multiple computers. There will be more discussion at the next meeting. We are also getting some quotes on a website design for the business association. We decided to buy 2 cash boxes for use at events. A motion to purchase them was made by Linda Schulte and seconded by Carol Olson. The motion carried.
Jill Gettelman reported that WCCU is sponsoring harassment in the workplace seminar at WHS. She sent out an email to the group this week, with the details.
The next meeting is November 4th.
